2. What Going A2B does
Going A2B helps users record business journeys and supporting evidence. The service can record odometer readings, journey details, photographs, location information and timestamps, calculate mileage, and produce journey records and reports.
3. Information we collect
Depending on how you use Going A2B, we may collect:
- Account information, such as your name, email address and account identifiers.
- Vehicle information that you choose to record.
- Journey information, including odometer readings, dates, times, journey purposes, locations and other details you enter.
- Location information captured when you deliberately use a location-based journey or evidence feature.
- Photographs and evidence that you upload, including odometer and optional supporting photographs.
- Technical information needed to operate, secure and troubleshoot the service.
- Subscription and transaction information relating to your Going A2B subscription. Payment card details are processed by our payment provider rather than stored directly by Going A2B.
Going A2B does not continuously track your location in the background.
4. How we use your information
We may use personal information to:
- Create and manage your account.
- Provide and operate the Going A2B service.
- Record journeys, evidence, locations and odometer readings.
- Process photographs using optical character recognition (OCR).
- Calculate mileage and create reports.
- Manage trials, subscriptions and payments.
- Respond to support requests.
- Protect the security and integrity of the service.
- Meet applicable legal, regulatory and accounting requirements.
Our lawful bases for processing may include performance of our contract with you, compliance with legal obligations and our legitimate interests in operating, securing and improving Going A2B. Where consent is legally required, we will ask for it.
5. Photographs and OCR
Going A2B may process photographs using OCR technology to identify information such as an odometer reading. Automated recognition can occasionally be inaccurate, so you should check readings and other information before relying on them.
We may use technology providers to process photographs and perform OCR on our behalf.
6. Location information
Going A2B may obtain your device's location when you deliberately perform an action that requires location evidence, such as starting or ending a journey or adding evidence.
Going A2B is not designed to continuously monitor or track your movements in the background. You remain responsible for checking that recorded journey and location information is appropriate for your records.
7. Service providers
We use third-party service providers where necessary to operate Going A2B. These may include providers of cloud hosting, databases, authentication, file storage, payment processing, OCR, email and security services.
Current providers include Supabase for database, authentication and storage services, Stripe for subscription and payment processing, and Google Cloud services where applicable for OCR. Providers process information according to their role in delivering the service and their applicable contractual and legal obligations.
8. International transfers
Some service providers may process information outside the United Kingdom. Where personal information is transferred internationally, we will use appropriate safeguards where required, such as UK adequacy regulations or approved contractual safeguards.
9. How long we keep information
We keep account and journey information for as long as reasonably necessary to provide the service and meet applicable legal, accounting and operational requirements.
We intend that journey photographs will normally be retained for up to 12 months. Automated deletion is being implemented, so photographs may temporarily remain for longer than this period. Journey records may be retained separately from the original photographs.
Certain account, subscription or transaction records may need to be retained for longer where required for legal, tax, accounting, fraud-prevention or dispute-resolution purposes.
10. Security
We use reasonable technical and organisational measures designed to protect personal information. No internet-based service can guarantee absolute security, and you should keep your account credentials secure.
11. Your data protection rights
Depending on the circumstances, UK data protection law may give you rights including access to your personal information, correction of inaccurate information, erasure, restriction of processing, data portability and objection to certain processing. Where processing is based on consent, you may withdraw that consent.
You also have the right to object to processing based on legitimate interests in applicable circumstances.
To exercise a data protection right, contact support@goinga2b.co.uk.
You also have the right to complain to the UK Information Commissioner's Office (ICO) if you are concerned about how your personal information has been handled.
12. Cookies and device storage
Going A2B may use cookies or similar device-storage technologies that are necessary for functions such as authentication, security and maintaining your session.
If we introduce non-essential analytics, advertising or similar technologies that require consent, we will provide appropriate information and controls before using them where required by law.
13. Children
Going A2B is intended as a business mileage service and is not designed for use by children.
14. Changes to this Privacy Policy
We may update this Privacy Policy when the service, our providers or applicable requirements change. The latest version will be published on this page with its updated date.
